Could you share an example of a time when you came up with an innovation that improved how your legal team works and did not come at a large expense?

One example of an innovation that effectively improved the legal team’s day-to-day operations without incurring a considerable expense was the implementation of technology solutions to streamline the legal team’s processes and accessibility across the group companies. In a maturing technology industry environment, we recognised the need to handle and manage legal claims, compliance, regulatory matters, and M&A transactions, among other things, in the most efficient manner possible and with every cost accounted for.

To address this, we implemented three key innovations well accepted by the stakeholders within Traveloka: (a)Regulatory compliance system: We developed and implemented a regulatory compliance system that allows us to centralise and automate compliance-related tasks. This system helps the legal team to stay up-to-date with ever-changing regulations, track the progress of various compliance initiatives within the group, and generate reports efficiently. We significantly improved our compliance efforts without a substantial financial outlay by reducing manual work and human error. (b) Legal Helpdesk: We established a legal helpdesk using readily available software solutions. This helpdesk is a centralised hub for all legal inquiries and requests within our organisation. It enables us to sort and assign tasks more efficiently, promptly directing legal matters to the appropriate team member. By optimising task allocation and communication and using existing readily available software solutions, we can improve response times and overall productivity within the Traveloka Group without incurring significant costs. (c) Online document repository: The Traveloka Legal team has harnessed the power of an online document management system/repository to revolutionise our workflow, enabling seamless collaboration, secure document storage, and efficient retrieval. This innovation has streamlined our processes and empowered us to stay agile and responsive in the ever-evolving travel technology landscape. These innovations have streamlined our day-to-day operations and enhanced our ability to provide timely and accurate legal support to the organisation and business units. By leveraging technology wisely, we can improve our legal processes without imposing a heavy financial burden on the team or the company.

Traveloka Legal team, as one of the crucial group ops teams, thrives on a culture of adaptability and collaboration. Our legal team members embrace the fast-paced nature of the tech industry and prioritise proactive problem-solving. Our ethos is rooted in a commitment to understanding the business, our customers and business units’ needs, which enables us to provide strategic legal advice. We value open communication, mutual respect, and a shared dedication to innovation and legal excellence.

Apart from legal matters, has the team worked on other company initiatives?

The legal team has been actively involved in various company initiatives beyond legal matters. Specifically, the team plays a significant role in compliance, ethics, and corporate social responsibility efforts. Some key areas in which the Legal Team has been engaged:(i) Compliance: The Legal Team is responsible for ensuring the company’s with relevant laws and regulations, including data compliance. This involves monitoring changes in laws and regulations across Southeast Asia, conducting internal audits, and implementing policies and procedures to ensure adherence. The team collaborates with the Legal Compliance & Regulatory Affairs members to maintain a robust compliance framework. The legal team is also involved in government engagement to achieve meaningful regulatory insights. (ii) Ethics: The Legal Team works closely with and is part of the Ethics Team, whose main objective is to promote a culture of ethics within the company and perform investigations on reports and potential misconduct. This includes training employees on the Code of Conduct and internal policies at all levels. We also investigate ethical concerns and misconduct, ensuring the company’s values and ethical standards are upheld. (iii) Corporate Social Responsibility (CSR): The Legal Team contributes to CSR initiatives by providing legal guidance and advice on socially responsible projects and initiatives. We also assist in reviewing and drafting CSR-related agreements and documents to support the company’s commitment to responsible business practices.
